Sierra Ledger Privacy Notice
This Notice explains how Sierra Ledger processes information when owners, staff and authorized platform personnel use the service. It should be read together with the Terms of Service and any additional notice presented for a specific feature.
1. Information we process
- Account, identity, contact, verification and staff-role information.
- Business profiles, branches, products, inventory, purchases, sales, expenses, customers, suppliers, reports and uploaded files.
- Subscription, payment-reference and billing records.
- Device, session, IP address, security, audit, support and service-usage information.
- Messages or prompts submitted to enabled email, WhatsApp or artificial-intelligence features.
2. Why information is used
Information is used to create and secure accounts; provide point-of-sale, inventory, bookkeeping, reporting and subscription functions; deliver requested communications; prevent fraud and misuse; troubleshoot and improve reliability; provide support; enforce plan limits; maintain audit trails; and comply with lawful obligations.
3. Providers and transfers
We may use appropriately selected hosting, database, storage, email, authentication, payment, monitoring, analytics, communications and artificial-intelligence providers. They receive only the information reasonably necessary for their function and may process information in other countries under contractual and security safeguards.
4. Sharing and lawful disclosure
We do not treat business data as public. Information may be shared with authorized workspace users according to their roles, with service providers operating on our behalf, during a legitimate corporate transaction subject to safeguards, or when required by valid law, court process or regulatory authority. We may also act to protect users, the platform or the public from serious harm or misuse.
5. Retention
Retention depends on record type, contractual needs and applicable law. Account closure ends ordinary workspace access but does not immediately erase business, payment, audit, backup or security records. The platform records a retention deadline, which may be extended for a legal hold, investigation, dispute or regulatory duty.
6. Security
We use access controls, tenant isolation, encrypted transport, protected infrastructure and storage, secrets management, audit logging, backups and monitoring as appropriate. Users must also protect passwords, verification codes, staff permissions and devices.
7. Choices and rights
Depending on applicable law, you may ask to access, correct or obtain information, object to or restrict certain processing, or request deletion where retention is not legally or operationally required. Some requests may require identity and authority verification. Business owners can update many details directly in Settings and can request soft account closure from their profile.
8. Automated features
Automated summaries and AI-assisted outputs depend on submitted business data and may be incomplete or incorrect. They support, rather than replace, human review. Sensitive credentials should never be entered into prompts or ordinary business-record fields.
9. Contact and changes
Privacy questions and rights requests should be submitted through Sierra Ledger’s official support channel. Material changes to this Notice will be communicated or presented for renewed acknowledgment where appropriate.
